Job Description

Responsibilities: Provide daily legal and insurance advice on contracts, disputes and claims or other legal documents with business counterparts. Qualifications: **Essential Duties & Responsibilities *Legal & Insurance Matters -Review contract terms and conditions, NAEGA, GAFTA, FOSFA, etc., Charter Party terms and conditions (ANVOY or other standard Chaterparties), Bills of Lading; oversee preparation of same when needed. -Complile all relevant info related dispute or claim of any contract type of the company in order to present insurance claim as well as legal supporting evidence to insurance and/or to group Legal & Insurance Dept. -Attend claim preventionon a continuous basis in respect of all above contracts, revision of terms and conditions. Prepare standard operating procedures for cargoes, claims, bunker quality claims and the like. -Drafting of messages to customers, suppliers or vessel's owners (and their respective representatives) to prevent potential disputes. Negotiations with those third parties. -Inform and update all concerned parties of changes in national and foreign legal systems and procedures, also pertaining government issues, trading restrictions and legal matter. -Maintain a general overview of ongoing execution of cargo/ vessel contracts. Interact daily with execution specialists in order to evaluate/ follow-up on related matters. *Finance -Assist in developing Insurance & Legal Dept. Yearly budgets as required by Head of Dept. and per defined company format, ensure timely preparation and submission of budgets for approval by GGC/ACSA senior management as instructed by management. -Control expenses of department within the limits of the approved budgets by expense line items; request additional funds for approval to supervisor in case budgets are expected to be exceeded. *Reporting -Report immediately (by all means available) to managers and trading associates during the day any meaningful dispute /claim that is to impact execution of contracts or lead to legal pursuits. -Convey pertinent legal or insurance issues representing any opportunities or threats to the company's or group's business. -Keep up to date company claims LotusNotes database for referrals. *Management -Ensure and/or supervise proper documentation of any files to be maintained. -Follow-up consistently on the pending or not finalized claims files. -Develop and maintain good relationships with agents, customers/suppliers, shipper representatives, government representatives, services providers and fellow company associates. -Serve as a custodian of corporate documents and records; ensure and abide to the confidentiality of restricted & sensitive company information. -Enforce company policies, procedures, and systems in place as instructed by company management. -Stay-up-to-date and master new technological systems implemented in the company. -Other duties may be assigned and required by company management or group product line director. **Qualification Requirements To perform this job successfully, incumbent must be able to execute each duty satisfactorily. The requirements listed below are representative of knowledge, skills and/or abilities needed. *Education and/or Experience Bachelor's degree in business, administration or related field, or equivalent four years of related experience and /or training; or equivalent combination of education and experience. -Good understanding of terms and conditions, mechanisms of wide variety of national/international trading contracts (NAEGA, GAFTA, FOSFA, etc.), standard Charterparties, Bills of Lading; -Knowledge of the basic principles of the cargo marine insurance terms and conditions and understanding of the mechanisms in such case of a cargo claim, drafting of reserves and appointment of a surveryor. -Keen sense of observation, an analytical mind, a good practical sense and good feel for anticipation of problems that can occur. -Understanding of Financial instruments, mechanisms, and terms and conditions (REPO program, Letter of Credit, etc...) is an advantage; *Language Skills A good command of the English language to read, analyze and interpret general professional documents and journals, procedures or governmental regulations; better than average writing skills are necessary to draft insurance and legal documents. -Master legal/insurance jargon and awareness of its implications when used. -Ability to write reports, business & professional correspondence, knowledge in assisting in design and implementation of procedure manuals. -Ability to effectively present information and respond to questions from a wide variety of managers, and business partners. -Multilingual proficiency highly desirable, mastering another language other than English is preferable, i.e. Spanish and/or French *Mathematical Skills Ability to calculate and understand figures and operations such as discounts, compounded interests, variances, proportions, percentages, volumes, etc. *Other Skills -Appreciate complexity of contract files and trade transactions. -Use of diplomacy to negotiate with colleagues and business counterparts. -Typing-45 w/m preferable, 10 key, general
